Kaindly Assessment Privacy Policy
Effective October 1, 2026 · KAINDLY-ASSESSMENT-PRIVACY-1.3
Privacy and support: hello@kaindly.ai
Kaindly will not sell your personal information.
Who we are and what this policy covers
Kaindly, LLC operates the Kaindly AI-at-work assessment and its individual reports. This policy covers the assessment, related support and optional assessment research. It does not describe every service offered by Kaindly or other businesses.
For privacy questions or requests, email hello@kaindly.ai with the subject Kaindly privacy request. This is the privacy contact address designated by Kaindly, LLC.
What we collect
You provide your first and last names, email address, company or organization, work country, role and assessment answers. A preferred name and enterprise or engagement code are optional. We also record the assessment and scoring versions, consent choices, submission time, displayed scenario order, report and reference identifiers.
If you separately choose to participate, optional background questions may ask about age range, gender, race or ethnicity, disability or health conditions, neurodivergence, education, caregiving and access to AI. Each background question can be skipped. These answers do not change your capability scores or access to your report.
Our hosting and security providers may process technical information such as IP address, browser information, request time and security logs to deliver and protect the service. Do not put confidential work content, customer or patient information, or personal information about other people into free-text responses.
How we use your information
We use assessment information to provide your requested report, explain your answers, offer developmental recommendations, manage engagement access, troubleshoot errors and respond to support or privacy requests. Required fields are needed to complete this assessment; optional fields and research choices are not conditions for receiving your report.
The assessment report uses fixed scoring and recommendation rules. Its report generator does not send your responses to an external generative-AI model. The scores are developmental and provisional. The application does not make employment, hiring or promotion decisions, and the assessment does not assign a quadrant placement.
Your assessment report appears after a successful submission and can be downloaded. Automatic report email delivery is not currently enabled. We use your email for relevant assessment support and, only if you separately agree, invitations to a follow-up assessment. We do not treat assessment participation as permission for unrelated marketing.
Research is your choice
The research checkbox on the first page is optional and unchecked by default. If you actively agree, Kaindly may use de-identified survey responses for research and assessment validation. Optional demographic questions require a separate opt-in at the end. Choosing not to participate does not change your scores or report access.
Before research use, we remove direct identifiers and review free text and combinations of answers for identifying details. A coded or pseudonymous record is still protected personal information when it can be linked back to you. We do not describe an identifiable admin export as anonymous research data.
You can withdraw optional research permission by emailing hello@kaindly.ai. We will stop future research use of your identifiable or linkable records once we verify and process your request. Withdrawal does not undo work already lawfully completed. We may be unable to remove your contribution from results that have been irreversibly anonymized or already published in aggregate.
We do not sell your information
Kaindly will not sell your personal information. This commitment applies whether or not you choose research participation. We do not rent assessment contact lists or share assessment information for cross-context behavioral advertising.
Authorized Kaindly administrators may access information as needed to operate the service, support you, honor your choices and conduct consented research. We use service providers for hosting, database storage, security and support communications. The assessment is hosted through Sites and uses Cloudflare infrastructure, including its D1 database. Providers may process information needed to supply those services; that is not permission for us to sell your information.
We may disclose information where legally required or reasonably necessary to respond to a lawful request, protect rights or investigate misuse. We limit such disclosures to what is appropriate for that purpose.
Your employer and other participants
Entering a company name or enterprise code does not give your manager, employer or another participant access to your individual answers or report. You choose what you share. Optional demographic answers are not included in manager or employer reports.
Group reporting is not enabled in this assessment. Before introducing it, we will explain the audience and purpose and review access, group size and the risk that combinations of results could identify someone. We will not treat a small-group average as automatically anonymous. A new individual-sharing arrangement would require a separate, clear agreement.
How long we keep information
Our retention period for identifiable assessment records is 12 months from submission. This includes contact details, answers, optional demographics, linked reports and engagement-use records. At the end of that period, records are due for deletion from the active assessment database. We may delete them earlier in response to a verified request.
Retention checks run when the assessment service or administrator dashboard is used, and administrators can run a cleanup of expired records. This is not a promise that every provider backup is erased at the exact 12-month anniversary. Restricted backup or recovery copies may remain until overwritten under the hosting provider’s backup cycle; they are not to be used for new research or ordinary reporting. After a restoration, retention and deletion requirements must be reapplied before returning records to use.
Downloaded administrative copies must follow the same retention and deletion requirements. Truly anonymous aggregate findings may be kept longer because they can no longer be linked to you. If law requires preservation of specific records, we will restrict their use and retain only what is needed for that obligation. Copies you download or voluntarily share are outside the assessment application's deletion controls.
Security, hosting and international processing
We separate identity, work context and optional demographic records from general assessment answers and restrict administrative access. We use safeguards intended to protect information, but no system can guarantee absolute security.
Information may be processed in the United States and other countries where our service providers operate. The assessment does not promise storage only in your work country. Contact hello@kaindly.ai for information about the processing locations and safeguards relevant to your participation. This policy does not itself establish a particular international-transfer mechanism.
The revised assessment does not add advertising trackers. Hosting, security or sign-in services may use necessary technical storage or cookies. If you open the report’s suggested prompts in a separate AI tool, that tool’s privacy terms apply; use only tools and information approved for your work.
Your requests and applicable rights
Email hello@kaindly.ai to request access to your information, correction, deletion, a copy of your records, or withdrawal of optional research or follow-up permission. Include your assessment reference if available. Do not send government identification or sensitive documents unless we explain why they are necessary. We may verify your identity through proportionate steps before disclosing or changing records.
Depending on the law that applies, you may also have rights to restrict processing, object to processing based on legitimate interests, receive portable data, use an authorized agent or appeal a decision on your request. We will respond within the deadlines required by applicable law and explain any lawful limitation. You will not lose access to the assessment because you decline optional research.
Where EU or UK data-protection law applies, our basis for providing and securing this voluntary developmental service is our legitimate interest in operating it and responding to participants, balanced against their rights. Optional research and follow-up rely on consent; required legal disclosures rely on legal obligations. Any sensitive-data processing must also meet the additional conditions applicable to it. You may object to legitimate-interest processing by contacting us and may complain to your local data-protection authority; UK participants can contact the Information Commissioner’s Office at ico.org.uk.
Adults, policy changes and contact
This assessment is intended for adults aged 18 or older. If you believe a child has submitted information, contact us so we can investigate and take appropriate action.
We may update this policy as the service changes. The effective date and version identify the notice in effect. We will provide notice of material changes and obtain fresh permission when required before using existing information for a new purpose. A policy update does not silently expand your research consent.
